Workshop & Logistics Coordinator (m/f/d)

Organization · Spare parts · Order management · Warehousing & shipping

Location: Vienna, Austria
Employment: from 25 hours/week to full-time

You know your way around bikes – and you like to have everything under control?

Suspension Lab has been synonymous with professional suspension technology, high-quality service and technical expertise in the world of mountain biking for over 14 years. In our specialized workshop, everything revolves around performance, quality and a passion for bikes.

In order for our technicians to focus on what they do best, we need someone in the background who keeps an overview and ensures that everything is in the right place at the right time.

That's exactly what we're looking for. Workshop & Logistics Coordinator (m/f/d).

You are the organizational interface between Workshop, spare parts warehouse, inventory management, orders and shipping. You ensure that the necessary spare parts are available, that deliveries are processed correctly, that completed workshop orders are completed cleanly, and that customers receive their bikes, suspension components, and orders reliably.

We are explicitly looking for no traditional warehouse employee. For this position, you need a good technical understanding and should be familiar with bicycles and their components.

Ideally, you have already worked as a bicycle mechanic or have relevant experience from a bicycle workshop or bike shop – and would like to combine your technical knowledge with organization and self-directed work in the future.

Your tasks

Workshop and order coordination

You keep track of ongoing and completed workshop orders and ensure that they run smoothly and in an organized manner within our company.

These include, among others:

  • Checking completed workshop orders for completeness
  • Checking whether the work performed and the replacement parts used were correctly recorded in the order
  • Updating and maintaining the respective order status
  • Complete reporting of completed service and repair orders
  • Preparing orders for customer pickup or shipping
  • Assigning bikes, suspension components, spare parts and accessories to the correct customer order
  • Communication with our technicians in the event of missing or unclear information
  • Tracing open transactions and orders

You ensure that a job doesn’t get left somewhere between the workbench, the computer, the warehouse, and shipping; it gets completed completely.

Spare part management & ordering system

An important part of your work is supplying our workshop with the necessary spare parts and consumables.

You take care of:

  • Ordering spare parts and workshop materials
  • Identification and allocation of the required spare parts
  • Examination of part numbers, model years, and compatibility
  • Working with spare parts catalogs, exploded drawings, and technical documentation
  • Control of availability and delivery times
  • Triggering and tracking of supplier orders
  • Assigning incoming parts to open workshop orders
  • Monitoring of important inventory levels
  • timely reordering of replacement and wear parts frequently required
  • Communication with the workshop and suppliers regarding technical questions or delivery problems

Your knowledge of bicycles is particularly important here: You should be able to distinguish between components, understand the technical connections, and recognize when something does not seem plausible when placing an order or when assigning a part to a specific bike.

Receiving goods & storage

You ensure that incoming goods are properly inspected, recorded, and stored, and that our warehouse remains organized.

These include:

  • Acceptance and control of incoming deliveries
  • Comparison with orders and delivery receipts
  • Checking for completeness, accuracy and damage
  • Recording of the incoming goods
  • Assignment to warehouses, customer orders, or workshop orders
  • structured storage of products and spare parts
  • Care and control of storage locations and stock levels
  • Support for ongoing inspections and inventories
  • Detecting and Clarifying Inventory Deviations
  • continuous improvement of order and structure in the warehouse

Shipping & Merchandise Delivery

From the small spare part to the complete bike, you ensure that our shipments arrive fully, safely, and professionally to our customers.

Your duties include:

  • Ordering customer orders and workshop orders
  • Checking for completeness and accuracy
  • Safe packaging of spring elements, spare parts, accessories and bicycles
  • Creation of shipping labels and shipping documents
  • Organization of daily product output
  • Documentation of tracking and shipping information
  • Processing of returns and returns

That's what you bring with you

For this position we are looking for a combination of technical understanding, organization and self-responsibility especially important.

You should:

  • You are very familiar with bicycles and bicycle components
  • ideally already as Bike mechanic, two-wheeler mechanic or in a similar position have worked
  • alternatively, bring more years of experience in a bicycle workshop or a technically oriented bike shop
  • understand technical relationships and be able to classify different components safely
  • Exactly, work structured and reliably
  • I am happy to organize and keep track of multiple processes at the same time
  • Recognize, prioritize, and consistently complete tasks independently
  • Be able to handle computers safely and quickly integrate yourself into new programs
  • handle high-quality products and customer goods responsibly
  • have good German language skills
  • have sufficient English skills to work with technical documentation, spare parts catalogs, and suppliers

Furthermore, the following are also advantageous:

Experience with MTB and high-quality bicycle components, knowledge of chassis engineering, and experience with inventory management, online stores, order management, or warehouse organization.

What is important to us

We are a small, specialized company. Therefore, we are not looking for anyone who works solely on instructions to complete individual tasks.

We are looking for someone who participates in discussions and takes responsibility for his/her area of work.

When a spare part is missing, you take care of it. When a delivery is not correct, you resolve the issue. When an order is complete, you ensure that it is also completed organizationally. And if you notice that a process could work better, we are happy to suggest a solution.

We don't expect you to know all our products, systems and processes from day one. Technical understanding, careful working methods and a willingness to learn new things are important to us.

You will be fully integrated into your tasks and our internal processes, and you will be supported step by step. Our goal is for you to take on and develop your responsibilities safely, independently, and with autonomy after the onboarding phase.

What to expect from Suspension Lab

  • A workplace right in the heart of MTB and chassis engineering
  • High-quality bikes and components from leading manufacturers
  • A varied job between technology, organization and logistics
  • Direct collaboration with experienced chassis technicians and mechanics
  • Small team structure and short decision-making processes
  • Working with self-responsibility instead of rigid corporate structures
  • The ability to actively shape workflows and your own workspace
  • A job where your bicycle knowledge really makes a difference
  • Long-term perspective in a technically specialized company

We will individually negotiate the exact salary with you, taking into account your previous experience in the bicycle industry and your existing knowledge of bicycle technology, spare parts management, inventory management, and order processing.
